Main Purpose of Job

Facilities

  • To support the Operations manager to ensure all mandatory/statutory regulations required for buildings that are run for and accessed by the public are met. To act as landlord to tenants and to promote and manage the consulting rooms, meeting rooms and conference suite.

Major duties of the post

  • Managing building and grounds maintenance
  • Cleaning and waste management
  • Promotion and management of the Thames Suite, and other consulting rooms available for hire.
  • Health and Safety – reporting back to the partner with responsibility for health and safety and the operations manager via risk assessments.
  • Providing documentation/evidence to support and maintain CQC registration
  • Security

Typical activities include

  • Liaising with tenants
  • Ensuring the building meets government regulations, environmental, and health and safety standards.
  • Responding appropriately to emergencies or urgent issues as they happen.
  • Checking that work agreed with contractors has been completed satisfactorily and following up on any deficiencies
  • Calculating and comparing costs for required goods and services to achieve value for money
  • Management of meeting and let consulting rooms, including setting up and clearing away after bookings and for the medical practice.
  • Maintenance of key holder register
  • Keeping records to support invoicing process and apportioning cleaning costs to tenants to enable invoicing.
  • Supporting induction of new staff

Other responsibilities

  • Have a working knowledge of the practice complaints procedure
  • Attend team meetings where appropriate.
  • Participate in training programmes.
  • Any other duties appropriate to the post, as delegate

Person Specification

Essential

  • Ability to work with people with a wide range of skills and abilities
  • Excellent verbal and written communication
  • Proficiency with current technology, including Microsoft Word and Excel
  • Excellent organisational skills
  • Experience of dealing with the general public
  • Experience of monitoring work performance, ensuring that tasks are completed to required standards

Desirable

  • In-depth understanding of health & safety legislation, building regulations, statutory compliance (e.g., fire safety, legionella, electrical testing, lifts) and risk management in a built environment
  • Health & Safety qualification (e.g., NEBOSH General Certificate, IOSH Managing Safely) or equivalent
  • Experience in a similar role
  • Experience of conducting audits/inspections, managing risk assessments, maintaining records for compliance
