Dispenser Vacancy

Closing Date: 6th March 2026

  • Hours: between 25 – 30 hours a week - Flexible Monday to Friday between the times of 11am-6.30pm (could do over 4 days)

This is an exciting opportunity to join the friendly Dispensary team at Windrush Medical Practice, Witney. Windrush Medical Practice is situated in a purpose-built building in Witney town centre.

We currently have a vacancy for a 25-30hr Dispenser. Applicants must be qualified to NVQ Level 2 or above (or equivalent).

We are looking for someone who is able to remain cool under pressure and to multitask on a daily basis. This role includes accurately dispensing medication, Dispensary administration, preparing Dossett boxes and stock control within the dispensary.

We are looking for someone who has experience in a similar role; has a can-do attitude and is used to working with the general public.

Absolute discretion is required in protecting patient confidentiality. The post-holder will be required to work flexibly and to offer extra hours to cover absences of other members of the team.

Major Duties and Responsibilities

To provide services which result in the safe and efficient generation of repeat prescriptions and dispensary functions, ensuring politeness and willingness to help at all times and patient confidentiality in all matters. To provide a responsive and friendly service to patients, whilst maintaining a professional manner at all times. To work as an effective member of the dispensary team and wider practice team, helping the Partners and staff to provide the highest possible quality of care to patients.

Good communications are extremely important within the practice, with patients and with outside agencies and the post-holder will be expected to help ensure that everyone who comes into contact with it holds the practice in high regard. Absolute discretion is required in protecting patient confidentiality. The post-holder will be required to work flexibly to cover absences of other members of the team.

You will be required to report to the Dispensary Supervisor/Assistant Supervisor & Manager.

Patients
  • To deal with patients in a courteous and efficient manner
  • To deal with repeat prescription requests in accordance with the repeat prescribing policy. Ensuring that prescriptions are ready for collection within 5 working days
  • To ensure that the required patient information is recorded on computer (and where necessary in the notes), accurately and promptly.
  • To answer patient queries on medication, in liaison with the partners, prescribing doctor, clinical pharmacist or prescribing nurse as appropriate
  • To dispense accurately medicines and treatments prescribed to eligible patients
  • To ensure prescription deliveries to agreed sites are maintained, and that appropriate records are available for audit
  • To provide a dosette box system for patients in agreement with the doctors and nurses concerned.
Communication
  • To liase with community and practice nurses, in order to anticipate and respond to the implications of their work for the dispensary
  • To indicate any queries or changes required to the appropriate GP to action.
  • To develop and maintain effective communication links with the local pharmacy
  • To liaise with other members of the practice team for the supply of patient records, and clinical correspondence.
Purchasing, Stock management and claims
  • To collect and record all relevant charges payable by patients.
  • To ensure dispensary stocks are maintained at the agreed levels, ordering from the appropriate suppliers at appropriate times.
  • To carry out regular stock checks, ensuring stock rotation and checking expiry dates.
  • To ensure adequate supplies of the required stationery and leaflets are maintained for the dispensary.
Quality
  • To take part in practice meetings and ongoing professional development as necessary.
  • To abide by the Practice protocols and guidelines for the Practice, and for the Dispensary
  • To ensure that the controlled drugs are dispensed strictly in accordance with the Practice guidelines, and that full records are maintained as appropriate.
  • To ensure that drugs are received and stored appropriately, maintaining the cold chain where necessary.
  • To comply with systems for health, safety and security in order to protect patients, staff, visitors, premises and stocked drugs.
Record keeping
  • To ensure that all dispensary records are maintained to a high standard.
  • To keep adequate and appropriate records to ensure an effective audit trail.
Other
  • The list of duties is not exhaustive and the post-holder may be required to carry out other duties as necessary. The role of the Dispenser/prescription clerk is likely to change from time to time to reflect changes in the needs of the Practice, or developments in the Primary Care Trust and wider NHS.

Medical Recall/IT Administrator

This is an excellent opportunity for an enthusiastic administrator wishing to join part of the Primary care Team.

Our Recall/Quality team is pivotal to the smooth running of the practice and involves a high level of detail to ensure that our patients are followed up in a timely manner.
The Patient Recall and Data Coding Coordinator is responsible for managing the recall process for patients with long-term conditions and those requiring ongoing prescribed medication monitoring. This role ensures accurate identification of patients due for review, recall communication, and the coding and recording of clinical data in patient records. 

The position works closely with clinical teams to support high-quality chronic disease management and safe prescribing practices.

Recall - Job Purpose and Key responsibilities 

1. Patient Recall and Review Management

  • Run clinical system searches to identify patients due for long-term condition reviews (e.g., diabetes, asthma, COPD, hypertension, heart failure, etc.).
  • Identify patients due for medication monitoring (e.g., anticoagulants, DMARDs, antihypertensives, inhalers, etc.).
  • Maintain and update recall lists in line with clinical protocols and quality standards (e.g., QOF, PCN/LPC frameworks).
  • Prioritise recalls based on clinical urgency and risk.

2. Communication Tasks

  • Contact patients by SMS, email, phone or letter to invite them for clinical review, monitoring, or screening.
  • Provide clear information to patients about appointments and any preparatory requirements (e.g., fasting, blood tests).
  • Coordinate appointment booking and follow-up where required.

3. Data Entry & Clinical Coding

  • Accurately code clinical information and outcomes from patient encounters into the electronic health record using agreed clinical coding standards
  • Ensure all reviews, medication changes, test results, and patient communications are recorded and coded accurately.
  • Clean up coding discrepancies and support data quality initiatives across the practice.

4. Searches and Reporting

  • Run regular searches on clinical systems (e.g., EMIS, SystmOne, Vision) for recalls, overdue reviews, and medication monitoring requirements.
  • Produce reports for clinical leads, highlighting overdue patients and trends.
  • Support audits relating to long-term condition management and prescribing safety.

5. Quality and Governance

  • Follow GP practice/clinic standard operating procedures (SOPs) and confidentiality policies.
  • Escalate clinical concerns or risks identified during the recall process to the appropriate clinician.
  • Support quality improvement and patient safety initiatives.
 

Skills & Qualifications

Essential

  • Highly organised and able to manage workload with attention to detail.
  • Excellent communication skills (verbal and written).

Desirable

  • Knowledge of long-term condition pathways (diabetes, COPD, etc.).
  • Experience with EMIS Web, SystemOne or other clinical record systems.
  • Understanding of QOF, DES, or similar quality frameworks.
  • Experience working in a healthcare setting (GP surgery, community health, pharmacy, hospital admin).

IT Support for the practice - Job Summary

The Primary Care IT Support role is responsible for delivering first line IT support across the practice, ensuring secure, reliable, and efficient operation of clinical and administrative systems while coordinating with an external IT company. 

Key Responsibilities

IT Support & Troubleshooting

  • Set up and maintain workstations, printers, scanners, telephony, and mobile devices.
  • Manage user accounts, permissions, and access controls.
  • Provide day-to-day IT support for clinical and administrative staff.
  • Troubleshoot hardware, software, and network issues.
  • Support clinical systems such as EMIS, Docman, AccuRx, NHS Mail, and Microsoft 365.
 

Qualifications & Experience

Essential

  • A quick learner, is comfortable working with computers and a range of software products
  • Ability to troubleshoot independently and manage competing priorities.

Desirable

  • IT experience (preferably within healthcare or regulated environments).
  • Knowledge of Windows, Microsoft 365, networking, and cybersecurity.
  • Experience supporting primary care clinical systems.
  • Understanding of GDPR and NHS data governance requirements.
  • Experience working within a GP Practice or PCN.
  • Knowledge of NHS Digital standards and compliance frameworks.
