Clinical Coding Administrator

  • Location: Windrush Medical Practice
  • Rate of Pay: Not AfC but band 2 to 3 equivalent
  • Hours: 33 hours per week
  • Start Date: October 2025

Main Purpose of Job

This is an excellent opportunity for a strong Medical Administrator to join the Windrush Medical Practice team as a Clinical Coding Administrator in a small multiskilled team. The Administration Team use their excellent attention to detail and methodical approach to ensure that patient clinical information is appropriately coded and circulated.

The job description and person specification are an outline of the tasks, responsibilities and outcomes required of the role. The job holder will carry out any other duties as may reasonably be required by their line manager.

Major Duties and Responsibilities

  • The management of Docman filing/workflows, including how they are acted upon in a timely manner and to ensure systems for managing these documents are robust, effective and safe.
  • Identifying & where appropriate coding key data:
    • Diagnosis versus investigation
    • Result versus correspondence
    • New or old problem
    • Items which need action versus for info only
    • Actions for GP/Dispensers/Secretaries/Clinical Pharmacists/Reception wider team and other agencies
    • Coding according to protocol 
    • Liaise with clinical pharmacists/dispensers regarding medication queries if required
  • Ensure that the required patient information is recorded on computer accurately and promptly. 
  • Demonstrate ability to use EMIS web, Microsoft Outlook, Docman, Microsoft Word and Excel and other programmes and software as required.
  • To identify any issues or changes needed to working practice and report to line manager
  • To take part in practice meetings and ongoing professional development as necessary
  • To abide by the Practice protocols and guidelines for the Practice
  • Demonstrate commitment to continued professional development 
  • Regular review and update of Practice Assistant Protocols
  • Use of spreadsheets and/or other IT solutions to maintain records and provide data and reports to the wider Practice team.

The post holder may have access to confidential information relating to patients, their carer’s, practice staff and other healthcare workers.  They may also have access to information relating to the Practice as a business organisation.  All such information from any source is to be regarded as strictly confidential.

Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
